This Privacy Policy explains how EUROPEAN EXTRA TOURS LIMITED (“we”, “us”, “our”) collects and uses personal data when you visit pieterontour.com (the “Site”).

The Site may add or change features over time (for example, comments or user accounts). Where a feature is not enabled, the related processing described below will not occur.

1) Who we are

info@pieterontour.com

You can also contact us via the contact form on the Site.

2) What personal data we collect

A) Data you provide to us

  • Contact forms / email enquiries: your name, email address, and the content of your message (and anything else you choose to include).
  • Newsletter sign-ups: your email address and (if you provide it) your name and subscription preferences.
  • Comments (if enabled): information you enter in the comment form (typically name, email address, website URL, and comment text).
  • User accounts (if enabled): if you register for an account, we collect the information required to create and administer that account (for example, username, email address, and any profile information you choose to add).

B) Data we collect automatically

When you browse the Site, we (and our service providers) may collect certain information automatically, including:

  • IP address, device type, browser type/version, operating system
  • pages viewed, links clicked, time spent on pages, referring pages
  • general site usage and performance data
  • server log information collected by our hosting provider for security and troubleshooting

C) Media (if uploads are enabled)

If you upload images to the Site (for example via comments, forms, or user profiles), you should avoid uploading images with embedded location data (EXIF GPS), as visitors may be able to download and extract that data.

3) How we use your personal data

We use personal data to:

  • respond to enquiries and communicate with you
  • send newsletters where you have subscribed
  • operate, maintain, and secure the Site
  • prevent spam, fraud, and misuse
  • improve the Site and understand how it is used
  • administer comments and user accounts (if enabled)

4) Legal bases for processing

We process personal data under one or more of the following legal bases:

  • Legitimate interests: to operate the Site, respond to messages, maintain security, prevent spam/abuse, and improve performance (balanced against your rights).
  • Consent: for newsletter emails and, where applicable, non-essential cookies and similar technologies.
  • Contract / steps prior to contract (limited cases): where you contact us about professional services and processing is needed to respond as part of steps toward an agreement.
  • Legal obligation: where we must keep certain records for legal, accounting, or regulatory reasons.

5) Newsletter (Brevo / Sendinblue)

If you subscribe to our newsletter, we will use your email address (and, if you provide it, your name) to send email updates such as new articles, travel insights, and occasional announcements from PieterOnTour.

Legal basis: We send newsletter emails on the basis of your consent. You can withdraw consent at any time by using the unsubscribe link in any email or by contacting us.

Double opt-in: Where enabled, we use double opt-in (you confirm your subscription via a confirmation email before being added to the list).

Email service provider: We use Brevo (formerly Sendinblue) to manage subscriptions and send newsletter emails. Brevo processes your subscription details on our behalf for these purposes.

Email analytics: Our newsletters may include tracking technologies (such as open and click tracking) depending on Brevo settings. You can stop receiving emails at any time by unsubscribing. Some email clients allow you to disable automatic image loading, which may reduce open tracking.

Retention: We keep newsletter subscription data until you unsubscribe. After you unsubscribe, we may keep a minimal record (for example, your email address on a suppression list) to ensure we respect your opt-out.

We will not add you to the newsletter unless you sign up via a newsletter form or otherwise explicitly opt in.

6) Cookies

Cookies are small text files stored on your device. Some cookies described below apply only if features such as comments or user accounts are enabled.

The Site may use:

  • Strictly necessary cookies (required for core Site functionality and security)
  • Preference cookies (where enabled)
  • Analytics cookies (where enabled)
  • Comment cookies (if comments are enabled): if you leave a comment, you may opt in to saving your name, email address, and website in cookies for convenience. These cookies typically last for one year.
  • Login cookies (if user accounts are enabled): if you log in, cookies may be set to keep you logged in and remember your screen preferences.

You can control cookies via your browser settings. Blocking some cookies may affect how the Site functions.

7) Embedded content from other websites

Articles on this Site may include embedded content (for example, videos, images, maps, or social posts). Embedded content behaves in the same way as if you visited the other website directly. Those websites may collect data about you, use cookies, and track your interaction with embedded content, particularly if you have an account and are logged in to that platform.

8) Who we share your data with

We may share personal data with trusted service providers who help us run the Site, such as:

  • website hosting and infrastructure providers
  • email provider(s) and communications tools
  • Brevo (Sendinblue) for newsletter management and delivery
  • security and anti-spam tools
  • website maintenance/IT support providers (where used)

We do not sell your personal data.

Comments and Gravatar (if comments are enabled): An anonymised string (hash) created from your email address may be provided to the Gravatar service to determine whether you use it. After approval of your comment, your profile picture may be visible publicly in the context of your comment.

9) International transfers

Some service providers may process data outside Ireland or the EEA/UK. Where this happens, we use appropriate safeguards (such as Standard Contractual Clauses) or another lawful transfer mechanism.

10) How long we retain your data

We keep personal data only as long as necessary for the purposes described above.

Typical retention periods:

  • Contact enquiries: up to 24 months after the last correspondence, unless we need to keep records longer for legal reasons.
  • Newsletter data: until you unsubscribe (plus a minimal suppression record afterwards).
  • Comments (if enabled): comments and metadata may be retained indefinitely to recognise and approve follow-up comments automatically.
  • User accounts (if enabled): kept for as long as the account remains active (or until it is deleted), subject to any required security or legal retention.
  • Security logs: typically 30–180 days depending on hosting/security settings.

11) Your data protection rights

You may have rights (subject to conditions) to:

  • request access to your personal data
  • request correction of inaccurate data
  • request deletion of your data
  • restrict or object to certain processing (especially where we rely on legitimate interests)
  • request data portability (in certain cases)
  • withdraw consent at any time where processing is based on consent

To exercise your rights, contact us using the details in Section 1.

You also have the right to lodge a complaint with the Data Protection Commission (Ireland).

12) Where your data is sent

Visitor comments (if enabled) may be checked through an automated spam detection service.

If you request a password reset (if user accounts are enabled), your IP address may be included in the password reset email.

13) Security

We take reasonable technical and organisational measures to protect personal data. However, no method of transmission or storage is completely secure.

14) Children

This Site is not intended for children under 16. We do not knowingly collect personal data from children.

15) Changes to this Privacy Policy

We may update this policy from time to time. The latest version will be posted on this page with the updated “Last updated” date.
